Privacy Policy
Introduction
This Privacy Policy explains what information Retriever Ops (the “Service”) collects, how we use and protect it, and the choices available to you. It applies to trainers who create an account (“Trainer,” “you”) and, where relevant, to information Trainers submit about their own clients.
Important — please read this section first. Retriever Ops is a business tool for professional dog trainers. Trainers use it to store information about their own clients (dog owners) and those clients' dogs. Clients do not create accounts, do not use the Service directly, and do not agree to this Privacy Policy themselves. Any personal information about a client that appears in the Service was entered by their Trainer, who is responsible for having the right to share it with us. See “A Note for Clients of a Retriever Ops Trainer” below.
1. Information We Collect
a) Information you provide about yourself (the Trainer)
- Name, email address, and password (your password is managed by our authentication provider using industry-standard hashing — we never see or store it in plain text; if you use Sign in with Apple, we receive only the identifier and email Apple shares with you).
- Optional business/kennel name and a business icon photo you choose to upload.
b) Information you provide about your clients and their dogs
- Client (dog owner) name, email address, and optionally phone number, mailing address, and emergency contact name/phone number.
- Dog information: name, breed, sex, date of birth, and free-text diet notes.
- Hunt-test titles and the organization (AKC/UKC/HRC) and date associated with each.
We collect this information because you enter it — we have no direct relationship with your clients, and we do not independently verify that you have the right to share it with us. See Section 5 of our Terms of Service.
c) Training content you create
- Training session records: date, free-text notes, an optional free-text location description you type yourself (the Service does not access your device's GPS or precise location), per-drill ratings, and duration/gear notes.
- Photos and videos you capture or import for a training session.
- Voice recordings (“voice notes”) you record within the Service, up to 5 minutes each. Voice notes are stored as audio files; we do not transcribe them to text or run speech recognition on them.
- Generated reports (compiled from the above) and records of when a report was sent and to whom.
d) Subscription information
We use Apple's In-App Purchase system for the optional “Pro” subscription. We receive only your subscription tier and status, renewal date, and Apple's transaction identifier for your subscription — we never receive or store your payment card, bank, or Apple ID password information. That is handled entirely by Apple.
e) Diagnostic and support information
If the app encounters an error, it may send us a small diagnostic record (an error message, the general area of the app involved, and limited surrounding technical context) linked to your account, so we can investigate and fix problems. These records are not visible to you or any other Trainer in the app, and are used only for troubleshooting.
f) Information stored only on your device
App preferences such as notification settings, dashboard layout, and display theme are stored locally on your device and are not transmitted to us.
g) Information we do not collect
We do not use advertising SDKs, third-party analytics/tracking SDKs, or cross-app/cross-site tracking. We do not access your contacts, precise device location, or health data. Our App Store privacy declaration reflects this.
2. How We Use Information
We use the information described above to:
- provide, maintain, and sync the Service across your devices, including while offline;
- generate and deliver the reports you configure to be sent to your clients;
- enforce free-tier usage limits and manage subscriptions;
- provide customer support and diagnose technical problems;
- communicate with you about your account (for example, password reset codes or service notices); and
- comply with legal obligations and enforce our Terms of Service.
We do not sell personal information, and we do not use your Content or your clients' information to serve advertising.
3. How Information Is Stored and Secured
- On your device, your data is stored locally so the app works fully offline.
- In the cloud, structured data (accounts, client/dog/training records) syncs to a secure cloud database, using row-level security so that each Trainer's account can only access their own data.
- Media (photos, video, and voice notes) is stored in secure cloud object storage, referenced by the synced records but not stored inside the database itself.
- Data is encrypted in transit between your device and our service providers.
We take reasonable, industry-standard measures to protect your information, but no method of storage or transmission is 100% secure, and we cannot guarantee absolute security.
4. Third Parties We Work With
We use the following service providers (each acting as a processor/service provider on our behalf, not an independent owner of your data) to operate the Service:
- Database hosting and authentication provider — account storage and sign-in
- Offline sync service — synchronizes data between your device and our database
- Cloud object storage provider — storage of photos, video, and voice notes
- Transactional email provider — delivery of password reset codes and client reports
- Apple — Sign in with Apple; App Store subscription billing
We do not share your or your clients' personal information with any other third party, except: (a) as necessary to provide the Service as described above; (b) to comply with a legal obligation, court order, or valid legal process; (c) to protect the rights, property, or safety of the Company, our users, or the public; or (d) in connection with a merger, acquisition, or sale of business assets, subject to this Policy continuing to apply to previously collected information.
5. Reports Sent to Your Clients
When you generate and send a report, it is emailed (or, for iMessage/manual delivery, shared through your device's native share sheet) to the recipient you designate, typically your client. That report may include your client's dog's name, training history, ratings, notes, and photos/video. Delivering a report to the correct, authorized recipient is your responsibility. We are not able to verify that a given email address or contact belongs to the person you intend, or that they have consented to receive it.
6. Your Choices and Rights
- Access and correction. You can view and edit your account, client, dog, and training information directly in the app at any time.
- Deletion. The app provides in-app options to archive or permanently delete clients, dogs, and their associated records. Permanent deletion removes the corresponding records from our database, subject to the retention notes in Section 8.
- Account deletion. You can delete your entire account from within the app. This is the same account-deletion mechanism required by Apple's App Store guidelines.
- Export. Download your client and dog information — names, contact details, breed, titles, and similar profile facts — at any time from Settings. That export does not include training session history, drill ratings, internal record identifiers, photo/video/voice-note files or links to them, or your automated report history/settings; contact us using the details in Section 12 if you need any of that separately.
California Privacy Rights
If you are a California resident, you may have additional rights under the CCPA/CPRA, including the right to know what personal information we collect, to request deletion, and to non-discrimination for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising. You can exercise these rights using the in-app tools above or by contacting us.
European / UK Privacy Rights
If you are located in the European Economic Area or United Kingdom, you may have rights under the GDPR/UK GDPR, including the right to access, rectify, erase, restrict, or port your personal information, and to object to certain processing. Our lawful basis for processing your account information is performance of our contract with you (these Terms); for optional features, our basis may be your consent or our legitimate interest in operating and improving the Service. You may contact us to exercise these rights.
A note on your clients' rights: because your clients' personal information is entered and controlled by you (the Trainer), requests from your clients about their own data (access, correction, deletion) should generally be directed to you, their Trainer, first. We will assist you in fulfilling such a request through the tools described above, or by contacting us directly if you need help doing so.
7. Data Retention
We retain your account and Content for as long as your account remains active. If you delete a specific record (a client, dog, or log entry) or your entire account, we take steps to delete the corresponding data from our active database and, for media, from our cloud storage, promptly, though residual copies may persist for a limited period in backups or logs before being purged in the ordinary course. Diagnostic error records (Section 1(e)) are retained only as long as reasonably necessary for troubleshooting.
8. Children's Privacy
The Service is a professional business tool and is not directed at, or knowingly used by, anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
9. International Users
Our service providers operate infrastructure primarily in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your home jurisdiction.
10. “Do Not Track” and Tracking Disclosure
We do not track you across third-party apps or websites, and our App Store “Privacy Nutrition Label” reflects that the app does not engage in tracking as defined by Apple. Because we do not track users in this way, we do not respond differently to browser/device “Do Not Track” signals.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will ask you to review and re-accept the updated Policy before continuing to use the Service, the same way we handle material changes to our Terms of Service.

A Note for Clients of a Retriever Ops Trainer
If you are a dog owner whose trainer uses Retriever Ops, your trainer has entered some of your and your dog's information into this Service in order to send you training reports. You are not a user of this Service and have not created an account. If you have questions about what information your trainer has stored, or want it corrected or removed, please contact your trainer directly — they control that information. If your trainer is unable to assist you, you may contact us at the email above and we will work with your trainer to help resolve your request.
